ChampCourts Private Limited (“ChampCourts”, “we”, “us”, or “our”) operates the website champcourts.com and associated sales, project, and support channels. This Privacy Policy explains how we collect, use, share and protect personal information when you interact with us online, over phone/WhatsApp, or during a sports-court project. It is written to comply with India’s Digital Personal Data Protection Act, 2023 (DPDP Act) and, where applicable, the Information Technology Act, 2000 and its rules.

2. Information we collect

We collect only the information needed to respond to enquiries, prepare estimates, deliver sports-court installations, and meet legal obligations. Categories include:

  • Identity & contact: name, phone number, WhatsApp number, email address, organisation, designation, city / site location.
  • Project details: sport type, court dimensions, surface preference, site photos or videos you share, budget indications, timeline.
  • Conversations: WhatsApp chats, emails, form submissions on champcourts.com, and recordings/transcripts of sales or support calls (where recording is disclosed at the start of the call).
  • Transaction records: invoices, estimates, purchase orders, payment references, GST details, bank account or UPI identifiers where shared for receipts or refunds.
  • Technical data: IP address, browser type, device information, pages viewed, and referral source, collected via cookies and analytics tools when you visit champcourts.com.

3. How we use your information

  • Respond to enquiries and prepare custom estimates or proposals.
  • Schedule site visits, manage installation projects, and coordinate with vendors or contractors working on your court.
  • Process payments, issue tax invoices, and maintain statutory records.
  • Provide warranty service, after-sales support, and maintenance reminders.
  • Send service updates, quote follow-ups, and (with your consent) occasional offers or educational content about sports surfaces. You can opt out at any time.
  • Improve our sales and support processes by reviewing call transcripts and chat logs internally.
  • Detect fraud, prevent misuse, and comply with legal, tax and regulatory obligations.

4. Legal bases for processing

We process personal data on the basis of (a) your consent (for example, when you submit an enquiry form, accept a call recording disclosure, or tick a marketing opt-in); (b) performance of a contract or steps taken at your request prior to entering into one; and (c) legitimate interests such as running our business, securing our systems, and maintaining audit trails, balanced against your rights.

5. How we share your information

We do not sell personal data. We share information only with:

  • Service providers (sub-processors) who help us operate the business under written terms of confidentiality and data protection, including:
    • Shopify (website hosting, checkout, and content management)
    • Interakt (WhatsApp Business API provider)
    • Chatwoot (omnichannel conversation inbox)
    • Bolna AI (outbound voice agent for vendor and lead outreach)
    • Zoho (CRM, Books, Analytics, Projects, Campaigns, People)
    • Razorpay and other authorised payment gateways (for payment processing)
    • Amazon Web Services, Mumbai region (storage of call recordings, transcripts, documents)
    • Anthropic (Claude API, for AI-assisted processing of transcripts and messages)
    • Google Workspace (company email, drive, meet)
  • Professional advisers such as chartered accountants, lawyers, and auditors, under confidentiality obligations.
  • Government or regulatory authorities when required by law, legal process, or to protect our rights, property or safety.
  • Acquirers or successors in the event of a merger, acquisition, financing or reorganisation, subject to the same privacy commitments.

6. International transfers

Some of our service providers process data on servers located outside India. Where this happens, we rely on contractual safeguards and the provider’s own compliance programmes, and we transfer only the minimum data necessary to deliver the service.

7. Data retention

We retain personal information for as long as needed for the purposes described above and to meet tax, accounting and other legal requirements. Call recordings and chat transcripts are typically retained for up to 24 months, enquiry records for up to 7 years for tax and warranty traceability, and marketing preferences until you change them.

8. Cookies and analytics

champcourts.com uses cookies and similar technologies for essential site functionality, performance measurement, and marketing. Specific tools we use or may enable include Shopify analytics, Google Analytics, and the Meta Pixel. You can disable cookies in your browser; some site features may not work if you do.

9. Your rights under the DPDP Act, 2023

Subject to applicable law, you have the right to:

  • access a summary of the personal data we hold about you and how it is being processed;
  • request correction or updating of inaccurate or incomplete data;
  • request erasure of data that is no longer necessary for the purposes for which it was collected;
  • withdraw any consent you have previously given, at any time;
  • nominate another individual to exercise these rights in the event of your death or incapacity; and
  • register a grievance with us and, if unsatisfied, with the Data Protection Board of India.

11. Security

We use reasonable technical and organisational measures, including access controls, encryption in transit, cloud provider security baselines, and limited internal access, to protect personal data. No system can be guaranteed 100% secure; if we become aware of a breach affecting your data, we will notify you and the Data Protection Board as required.

12. Children

Our services are intended for adults and institutional buyers (such as schools, housing societies, corporates, clubs, and private owners). We do not knowingly collect personal data from children under 18 without verifiable parental or guardian consent.
